A layout problem is often a mismatch among four places: the document’s page setup, the application’s current Print dialog, the selected printer’s preferences, and the paper or tray configured at the device. These settings can overlap, and an application can send a job-specific choice that differs from a printer default. That is why changing only one setting may appear to do nothing.

Start with the physical media. Letter and A4 are not interchangeable; their dimensions differ. If the document is designed for one while the selected tray holds the other, the printer may request a different tray, scale the page, clip content, or stop with a mismatch message. Read any message on the printer itself before changing Windows settings.

Compare the document, current job, and printer

Open the original document and check its page size and orientation. Then open Print, confirm the selected printer, and review the choices visible for that job: paper size, orientation, scaling, paper source, color or monochrome, and one- or two-sided printing. The exact labels vary by application and printer package, so use the settings actually offered rather than expecting every control.

Use the result to choose the next check

If the one-page check is correct but the original document is not, the original file or application may have a distinct page setup, section break, scaling rule, or print option. Inspect it there rather than changing the system driver. If all applications use the wrong default, a printer preference or device tray configuration may be involved. On a shared printer, ask its administrator before changing defaults that can affect other users.

If the printer pulls the wrong paper despite matching Windows settings, verify that the tray guides are set for the media and consult the model’s official documentation. A physical tray sensor, paper feed, or device configuration issue is not confirmed to be a Windows driver problem. Do not use firmware updates as a generic response to a single layout mismatch.

Make only one comparison change at a time. For example, first match the application’s paper size while leaving the tray unchanged, then test; only afterward inspect the printer preference if the result persists. Recording the setting and result avoids mistaking an automatic change in an application for a change made in Windows. It also gives an administrator or manufacturer support agent a concise account of the mismatch.

For a multi-page document, inspect a page that fails and a page that succeeds before changing all defaults. A section of the document can use different margins, orientation, or paper size. Correcting that local setup may preserve the intended configuration for other documents and users of the same printer.
